Complete post-pay run actions in UK EOS Payroll

After finalising a pay run in UK EOS Payroll, you can now complete all required post-pay run actions directly in Employment Hero. This streamlines your payroll process and ensures compliance with UK payroll regulations, including BACS payments, payslip publishing, and auto-enrolment notifications.

This section covers the full set of actions you can take after finalising a pay run, including unlocking a pay run, downloading payment and accounting files, publishing payslips, and managing auto-enrolment notifications.

Steps to complete post-pay run actions
  1. Log in to Employment Hero as an Admin.
  2. Go to Payroll > Pay Runs.
  3. Select the finalised pay run you want to work with.
  4. (Optional) Unlock a finalised pay run:
    • Choose Unlock Pay Run.
    • Enter a reason for unlocking and confirm in the modal. A warning will display if unlocking may affect HMRC tax codes.
  5. Download the BACS payment file:
    • Select Download Payment File on the finalised pay run page.
    • Review the inline guidance explaining the BACS file format and how to upload it to your business bank account.
    • If the download fails, an error message will appear with a retry option.
  6. Download the accounting journal:
    • Select Download Journal to obtain the accounting file for the pay run.
  7. Publish payslips to all employees:
    • Choose Publish Payslips to send payslips to all employees in the pay run in one step.
  8. View published payslips on employee profiles:
    • Go to People > Employee Profile to confirm payslips are visible for the relevant pay period.
  9. Manage auto-enrolment notifications:
    • When payslips are published, auto-enrolment notifications are automatically generated and sent to newly eligible employees. A verified timestamp is recorded for compliance.
    • If you select Manual or Scheduled publishing and the pay run includes auto-enrolment eligible employees, a compliance nudge will appear in the finalise modal explaining the six-week legal deadline. This does not block finalisation.
  10. Access the auto-enrolment notifications viewer:
    • From both open and finalised pay runs, you can view which employees have been sent auto-enrolment or postponement notices.

What happens if I defer publishing payslips?

If you choose to publish payslips manually or on a schedule and there are auto-enrolment eligible employees, a compliance warning will remind you of the six-week legal deadline for sending notifications. Immediate publishing sends notifications right away and does not show this warning.

Can I view auto-enrolment notifications after finalising a pay run?

Yes. The auto-enrolment notifications viewer is accessible from both open and finalised pay runs, allowing you to check which employees have received their notices.

What if the BACS payment file download fails?

If the download fails, you will see an error message with the option to retry. No partial file will be delivered.
