Automating Public Holidays for Auto-Paid Employees

Overview

We have added a feature where public holidays can now be automated for employees who are set to be automatically paid, such as salaried employees. Prior to this feature, public holidays needed to be added manually to the pay run and then another manual entry to reverse a day of their default pay category which could be very time consuming. With this new feature, in Payroll settings > Advanced > Advanced Settings there is a check box that when ticked, the public holiday will automatically be applied to the pay run that it falls in and a negative entry of the employee’s default pay category will also apply automatically.

 

Getting Started

  1. To automatically apply the public holidays, do the following:
  2. Go to Payroll Settings
  3. Click on Advanced
  4. Navigate to Advanced Settings and tick the “Apply otherwise working day rules to all employees with default earnings” option under Public holiday automation. autopublic1__1_.jpeg
  5. The system will then automatically apply the public holiday to employees who are set to “Pay these earnings by default in a pay run” in their Pay Run Defaults screen. autopublic2__1_.jpeg
  • When a new pay run is open for a period that contains a public holiday, the system will automatically apply a Public holiday not worked line for the employee and it will also apply a negative line of their default pay category for that day.
  • If an employee is set to a basic work pattern, the system will assume a Monday to Friday work pattern and divide their weekly hours by 5 days to derive the number of hours to be paid for the public holiday and default pay category reversal – it will not take their daily hours into account so if you have an employee that works 3 x 8 hour days per week, so they are set to 24 hours per week and 8 hours per day but they are on a basic work pattern, the system will divide the 24 hours by 5 and pay the employee 4.8 hours for the public holiday and reversal.
  • To make sure they are paid the correct number of hours, the employee should be placed on an advanced work pattern with their daily hours set for each day they work.
  • Any employee that doesn’t work the same number of hours each day over Monday to Friday, needs to be set up on an advanced work pattern.
  • Do not use timesheets or use timesheets for exceptions only (eg: overtime) for the public holiday to apply automatically.
