This feature is only available for businesses on plus plans.
You can integrate your payroll file with Square to have your business locations, employee data and timesheet data imported to be used for pay-run processing.
Important
When importing timesheets from Square, employee and location data needs to exist and match the data from the timesheets being imported. It is therefore recommended that you use the Import Employees functionality to make sure matching employees and locations can be determined.
Connect to Square
You can connect by following these steps:
- Go to Payroll settings.
- Navigate to Business Management.
- Select Integrations.
- Locate the Square tile and click the Add button.
- Click Connect to Square.
- You are then redirected to the Square login page. Enter your user credentials and allow permission for payroll to access your Square file.
- After being redirected back to the integrations page within payroll you will receive a message to say you are now connected.
- You are shown three links with the options to Import locations, Import employees and Import timesheets.
- Click on one to perform the function. This launches the option in a new screen.
- When you are finished click Save.
- Click Close.
Import Locations
- Go to Payroll settings.
- Navigate to Business Management.
- Select Integrations.
- Locate the Square tile.
- Click the Pencil icon to edit the settings.
- Select Import Locations.
- The Locations settings will open in a new window.
- Click on the Import drop down button.
- Select Import Square locations.
- Your locations will be imported into your payroll.
Import Employees
- Go to Payroll settings.
- Navigate to Business Management.
- Select Integrations.
- Locate the Square tile.
- Click the Pencil icon to edit the settings.
- Select Import Employees.
- Import employees will launch in a new window.
- Select Import Employees from Square in the source drop down menu.
- Click the Import button.
- You will receive a notification on the status of the import with an advisory as to whether any errors occurred.
Import Timesheets
- Go to Payroll settings.
- Navigate to Business Management.
- Select Integrations.
- Locate the Square tile.
- Click the Pencil icon to edit the settings.
- Select Import Timesheets.
- Import Timesheets will launch in a new window.
- Select the source of the timesheets: From the drop down menu, pick Square.
- You then need to complete the following filters: Date range and Approve Timesheets (yes/no).
- You have the option to Start over or Import.
- Once imported, you will receive a notification on the status of the import with an advisory as to whether any errors occurred.
Disable Square
- Go to Payroll settings.
- Navigate to Business Management.
- Select Integrations.
- Navigate to the Square tile.
- Click the Disable icon.
- Click Disable.
- This connection can be re-established at any time.
