Data Extracts

There are a number of data extracts available from within your payroll file which can be exported as both CSV and Excel files.

To download data extracts from within your payroll file, navigate to the Payroll settings > Data extracts page. Then, select the data type you want to export:

The following sets of data are able to be exported:

Chart of accounts configuration

  • For users with multiple sets of location specific accounts, if they need to change a particular account, it can be difficult to find all the places that an account is used.
  • The 'Export' feature adds an excel spreadsheet export so that the user can see which accounts are used across the whole Chart of Accounts.

Deduction categories

  • Will include all active deduction categories within the business
  • The export includes all configuration settings

Employee data

  • Template with employee data - pre-populated extract with all the existing employee data included
  • Template with employee data (including terminated employees) - pre-populated extract with all the existing employee data included with terminated employees
  • Empty template - blank template with header values only

Employee deductions

  • Will include all active employee deductions
  • The export includes all configuration settings as found on the specific deduction pay run inclusion page within the employee file. 

Employee expense categories

  • Will include all active deduction categories within the business
  • The export includes all configuration settings

Employee group members

  • All employee groups - lists all employee groups with the employees in each group
  • All employee groups (plus employees with no group) - lists all employees groups with the employees in each group and employees that are not currently assigned to any groups

Employee qualifications

  • Template with employee data - pre-populated extract with all the existing employee qualifications included
  • Template with employee data (including terminated employees) - pre-populated extract with all the existing employee qualifications included with terminated employees
  • Empty template - blank template with header values only

Employee reportable fringe benefits

  • You'll need to select the relevant the financial year that relates to the fringe benefits

Employer liability categories

  • Will include all active employer liability categories within the business
  • The export includes all configuration settings

Journal accounts

  • Will include all active journal accounts within the business
  • Includes account name/account type

Locations

  • Download a complete list of all locations for the business

Opening balances

  • Template with employee data - pre-populated extract with all the existing employee data included
  • Template with employee data (including terminated employees) - pre-populated extract with all the existing employee data included with terminated employees
  • Empty template - blank template with header values only
  • Template with employee data - pre-populated extract with all the existing employee data included

Pay categories

  • Download a complete list of all pay category data for the business

Pay rate templates

  • Download all pay rate templates for the current business

User access permissions

  • Will include all active users within the business
  • Includes all configuration settings relating to each user

Next, select the file format:

  • CSV - can be opened in excel or any text editor
  • Excel - file will be downloaded in a native excel format
  • Click the "Download" button to download your data extract
