The advantage of employment agreements is that it combines rule sets, leave allowance templates and pay rate templates. You can choose to have pay increases happen automatically on employee birthdays and/or anniversary dates for employees assigned an employment agreement, or disable auto-progression for manual control when employees need to meet specific requirements before advancing.
The employment agreements feature allows you to add customised agreements, edit award components and delete your own customised agreements along with any non-required pre-built award component.
Getting started
- Click the Business Settings menu.
- Click the Payroll Settings submenu.
- Click the Employment Agreements button.
- Click the Add a Custom Agreement button.
- Complete the following fields:
- Classification.
- Rank.
- Employment type.
- Pay conditions.
- Leave allowance templates.
- Pay rate templates based on:
- Date of birth.
- Anniversary date (in years).
- Anniversary date (in months).
- Date of birth and anniversary date (in months).
- Click the Save button.
Note: If you disable auto-progression, a confirmation popup will appear explaining the implications. Employment agreements with disabled auto-progression will show a special indicator for easy identification.
Managing Auto-Progression
Auto-progression automatically moves employees to the next pay rate template based on their anniversary date or age. This works well for full-time employees but may not suit part-time or casual employees who need to meet specific requirements (hours worked, qualifications, etc.) before progressing.
When to disable auto-progression:
- Employees must work minimum hours before pay progression
- Qualifications or training completion is required
- Performance reviews are needed before advancement
- Award or EBA has specific progression criteria beyond tenure
When auto-progression is disabled:
- Employees remain on their current pay rate template
- Anniversary dates still appear in pay run warnings as reminders
- You must manually update pay rate templates when employees meet requirements
- Higher duties functionality on timesheets remains unchanged
- Click the Business Settings menu.
- Click the Payroll Settings submenu.
- Click the Manage Awards button.
- Click on the award you want to manage.
- Click the Actions dropdown menu.
- Select Manage auto-progression.
- In the popup screen:
- View all employment agreements within the award
- See the number of employees attached to each EA
- Check current auto-progression status (Enabled/Disabled)
- Select employment agreements using tick boxes
- Click Enable or Disable button
- Accept the terms and conditions when prompted.
Note: Only pay rate templates that are based on anniversary dates will appear.<></>
- Click the Business Settings menu.
- Click the Payroll Settings submenu.
- Click the Employment Agreements button.
- Look for employment agreements that display the auto-progression disabled indicator (a special icon next to the employment agreement name).
- Click on the employment agreement with disabled auto-progression that you want to manage.
- Click the Manage Employees button next to the employment agreement.
- In the "Manage Employee Employment Agreement" screen:
- All active employees attached to the EA are displayed and selected by default
- Use tick boxes to select/unselect employees
- For selected employees: auto-progression is disabled and you can manually choose their pay rate template
- For unselected employees: auto-progression continues as per EA settings
- Update pay rate templates as needed using the dropdown for each employee.
- Click Save to apply changes.
Warning: When you change an employee's pay rate template, a warning banner will appear if the selection differs from what would be expected based on their anniversary date and EA settings.
For existing employees:
- Navigate to the employee's profile by going to the Employee menu, Employee List, then clicking the employee who needs to be changed.
- Click the Pay Run Defaults tab.
- If the employee is attached to an employment agreement with auto-progression disabled, you'll see a Disable Auto-progression toggle (when pay rate template is based on anniversary dates).
- Toggle on to disable automatic pay progression.
- When enabled, employees will not automatically move to the next pay rate template.
- You will need to manually update pay rate templates when applicable.
- Toggle on to disable auto-progression for this specific employee.
- When disabled, the Pay Rate Template field will unlock for manual selection.
- Accept the warning popup when making changes.
- Click Save.
For new employees (Employee Wizard):
- During employee setup, navigate to the Employment Details page.
- Select an employment agreement that has auto-progression disabled.
- You'll see a Disable Auto-progression toggle under the employment agreement.
- When toggled on, the Pay Rate Template field unlocks for manual selection.
- When toggled off, the Pay Rate Template remains locked and progression follows EA settings.
- Complete the wizard and save.
When importing employees:
- Add a Disable Auto-progression column to your import file
- Use TRUE to disable auto-progression, FALSE to enable
- Leave blank for default behavior (enabled)
- When TRUE is selected, you must specify a Pay Rate Template
- The system will validate that the employment agreement supports disabled auto-progression
Export files will include:
- Current auto-progression status for each employee
- Pay rate template assignments
- Employment agreement details
Maintain
- Click the Business Settings menu.
- Click the Payroll Settings submenu.
- Click the Employment Agreements button.
- Click on your agreements drop-down button.
- Click on the agreement that needs editing.
- Make the required changes, including:
- Basic agreement settings
- Auto-progression settings (if pay rate template is based on anniversary dates)
- Pay rate templates
- Leave allowances
- Click the Save button.
Visual indicators: Employment agreements with disabled auto-progression will display a special indicator. Hover over the indicator to see "Auto-progression disabled for this Employment Agreement".
- Navigate to Manage Awards.
- Select the award you want to update.
- Click Update Award.
- If you have disabled auto-progression for employment agreements, you'll see:
- Preserve Auto-progression settings option
- Select Yes to keep your custom settings unchanged
- Select No to revert to the source award settings
- Complete the update process.
Important: Choosing "No" will override any custom auto-progression settings you've made.
