Proration of recurring earnings for new hires, termination & leave without pay (LWOP)

Payroll admins now have the ability to pro-rata allowances by selecting the Incomplete month calculation option from the dropdown menu in pay run inclusions. This can be used when an employee has not worked for an entire month, or has taken leave without pay.

Pro-rata additional pay run inclusions
  1. Log into your payroll platform. 
  2. On the left-hand side menu, click on People.
  3. Click on Employees List.
  4. Select the employee for whom you would like to create a proration of earnings.
  5. Click on Pay Run Inclusions.

  6. Select the pay run inclusion type, then click on Add.

  7. Select the following:
    • Pay category
    • Location
    • Earnings per pay run
    • Rate
    • Notes (will appear for this earnings line in every pay run)
    • This earnings line should be included in
    • Incomplete month calculation - select This earning line is prorated based on incomplete month formula.
      choose this earning line is prorated
  8. Click on Save.

Helpful Hint

The proration is based on the number of calendar days for employees without advanced work week or the number of working hours for employees with advanced work week.
