How to use the Gender Pay Gap Data reporting feature

Overview

The newly added Gender pay gap data report is located within HMRC Reporting. The report is required by law for all companies with more than 250 employees. The report allows users to extract the necessary data to prepare their report. The system won't provide the calculations for the final report. Getting Started

The following will tell you how to use this feature to gather the correct data using this feature.

  1. Log in to your payroll platform account here.
  2. Click on Reporting.
  3. Under HMRC Reporting click on Gender pay gap data report.
  4. Here you can select what data you want: your snapshot date and the pay schedules, employees, along with what pay categories and bonus and salary sacrifice options.
  5. Tick the box if you want to save these settings for future reports.
  6. Click Run report for the report data to be shown on screen, or download to download it as an Excel spreadsheet. Gender_Pay_Report.jpeg

The Data

Whatever the date is entered in the Snapshot field, the system will determine all 'live' employees as at that date, it will then find any relevant pay runs for each pay schedule, which contains the snapshot date within the pay period starting and ending dates.

  • For each relevant employee found at the snapshot date the system will calculate the total pay incl. bonus in the snapshot period by adding the value of any pay categories selected in the Ordinary pay categories field of the report options, plus the value of the Bonus pay categories selected, minus any Salary sacrifice deductions selected in the report options section.
  • If an employee was not included in any of the relevant pay periods, or has no pay in the specified pay categories the report will show a zero.
  • The report will look back 12 months from the selected pay runs to find the gross value of annual Bonus.
  • And add up any pay categories selected by the user in the Bonus pay categories field of the report options in the 12 month period.
  • The report shows males in blue and females in pink.

  • If highlighted in yellow the employees total pay includes one or more system pay categories selected in the report options.
